Job Description: EXECUTIVE DIRECTOR
Leadership Oversight Collaboration Development
Purpose and Description of Position:
The Executive Director of Congregation Kol Shofar is the chief executive of the organization. S(he) provides the organizational leadership and helps lay the foundations for the long-term sustainable development of Congregation Kol Shofar -- helping to develop the structures in which to implement its mission, expand membership and secure its role in the Jewish community. S(he) is an active participant in the creation and implementation of the vision and overall direction for Congregation Kol Shofar and its activities.
The Executive Director works collaboratively with the Clergy, the Board of Directors, and other lay leaders. S(he) plays an important role in creating a positive structure for Congregant interaction and communications, committee support, customer/membership services, and public relations. The Executive Director forms and maintains positive dynamic connections with key organizations and individuals, both within the synagogue and the community at large, to proactively support the goals and direction of Kol Shofar.
The Executive Director is responsible for overseeing the fiscal health of the organization and mobilizing and supporting fund development activities. S(he) is responsible for the management and supervision of the staff and the internal functioning of the organization, all facilities and operations, and is responsible for compliance with all relevant government and legal codes.
This position is salaried, exempt, and at will.
Reports to: Hired by and accountable to the President and Board of Directors
Qualifications:
- At least five years of experience in leadership and management of synagogues, non profit organizations, or small to medium size business with demonstrated strong leadership skills.
- Passionate about the role of the synagogue in Jewish Life with an understanding of Jewish communal affairs
- An ability to work with Clergy in Jewish spiritual and cultural matters
- Ability to recognize, drive and support an organizational vision that includes a strong emphasis on membership expansion and retention, building a connected community, and sound fiscal health.
- Proven experience in fundraising preferably in a synagogue environment
- Proven ability to work with a Board of Directors and donors.
- Proven ability to manage staff effectively, build effective teams, and manage relationships with and among volunteers, lay leaders and members
- A self starter with can-do attitude who takes others into consideration and builds consensus
- Excellent communication, negotiation, facilitation, and team-building skills
- Demonstrated business and fiscal acumen including budgeting, and daily non-profitagency fiscal management.
- Experience with programming.
- Knowledge of requirements for maintaining a kosher kitchen and catering activities.
- Ability to prioritize and delegate, keeping a big-picture orientation on the strategic projects while ensuring details are executed.
- Enjoys working with people and has a sense of humor.
- Has a systems and process mindset with a proven ability to create organizational and systematic improvements that enable more effective and efficient operations.
- Demonstrated knowledge of the legal requirements for faith based organizations.
- Ability to write, read, and speak English fluently and demonstrate good verbal and written communication skills.
- Ability to maximize effective use of office technology, is computer literate, and has facility with a variety of software programs such as Microsoft Office suite.
- Ability to engage and work with neighbors and larger community, including city and state agencies.
- Ability to work effectively in a high pressure work environment.
- Eye/hand coordination, vision and hearing adequate to perform duties outlined in this job description.
- Ability to move about in offices and other site locations.
- A valid CA drivers license and access to a properly insured vehicle for use on the job.

DUTIES
Leadership:
- Provides overall executive leadership and direction for Congregation Kol Shofar in association with the Rabbis and the Board of Directors.
- Works with the President, the Board of Directors, Clergy, and the lay committees to further the goals and direction of Congregation Kol Shofar both internally and externally, developing the Board agenda with the President and suggesting program ideas, and strategies as appropriate.
- Collaboratively partners with Clergy to ensure that the synagogue operates optimally to permit the Clergy to fulfill their pastoral duties and to provide an arena in which spiritual matters can flourish.
- With Rabbis and the Board of Directors creates and implements an organizational vision.
- Brings energy, dynamism, and focus to the task of mobilizing support for Kol Shofar and its goals, both internally and externally.
- Looks for funding opportunities and attends workshops and seminars that benefit the synagogue
- Identifies priorities, coordinates at the bigger picture level weighing in on how the various activities and staff fit into the organization as a whole.
- Ensures that the Board and the staff operate in a complementary manner toward a common goal.
- Executes an ongoing emphasis on membership expansion and retention and building a connected community.
- Represents Congregation Kol Shofar in the broader Jewish and non Jewish communities, participating in local and national bodies and initiatives as appropriate.
- Exemplifies and conveys a deep and abiding commitment to Jewish life, and the passion for the vibrancy and diversity of Jewish expression and participates in synagogue services, high holy day services and other holy day or special synagogue events..
Management:
- Provides the overall management for all staff (excluding Clergy).
- Provides supervision for staff and where appropriate provides supervision conjointly with the Clergy.
- Develops effective internal communications amongst departments to ensure efficiency and responsiveness from all departments including front office.
- Builds effective staff teamwork to ensure smooth operations and sense of common purpose.
- Manages relationships with and among staff, volunteers, lay leaders, and members.
- Ensures decisions are being made with the full understanding of the consequences/ ramifications of those decisions for all constituents/stakeholders.
- Manages and oversees external and internal communications and ensures that all communications proactively support the stated Vision of Kol Shofar.
- Ensures development and updating of policies and procedures and ensures adherence to them.
- Executes the staffing function for the Board of Directors and attends Board meetings, annual and special meetings of the congregation, and other appropriate committee meetings (e.g. Executive, Budget, etc).
- Oversees operations and facilities and provides oversight for or management of the kitchen and catering activities ensuring compliance with the synagogues kosher policy at all times.
Personnel:
- Is responsible for all human resource functions, including the development of personnel policies and procedures, job descriptions; recruiting, hiring, training, supervising, motivating, performance appraisals and taking disciplinary action (when necessary)
- Ensures adherence to policies and procedures within the organization.
- Ensures the maintenance of complete personnel files for all staff, and directly maintains personnel files.
Fiscal Health:
- Works with the Treasurer and Finance Committee, provides strong financial management through oversight and supervision of the book keeper, operations staff, and coordination with contracted accountants.
- Prepares the operating budget for approval by the Treasurer, Finance Committee, Executive Committee and then Board of Directors.
- With the Board of Directors ensures the fiscal viability and financial success of Congregation Kol Shofar.
- Reviews financial statements and reports to the Treasurer and / or President / Board at least monthly.
- Controls purchasing for the synagogue with office staff and committees.
- Executes and manages contracts for the synagogue.
- Executes and manages banking and year end taxes.
- Oversees invoicing, receivables, payables, cash flow and other day to day fiscal activities.
- Ensures check and balance systems for expenditure approvals.
- Ensures use of fiscal best practices (for cost effectiveness, optimizing stock donations and status of long term investments and audits) and oversight of the synagogues various special funds.
- Spearheads fund development activities including but not limited to face to face solicitations, foundation relations, grant writing, donor development including endowment, planned giving, cultivation events and mail and phone appeals.
- Works with the Capital Campaign Committee to further the objectives of the campaign and ensure adequate financial management.
Administration and Operations:
- Is responsible for the implementation of all administrative and operational affairs of the synagogue and for developing and maintaining systems for operations, human resources, the phone and voice mail system, and all of the computer systems (software, email, list serves, web site, databases) to ensure efficiency and smooth operations within the synagogue as a whole.
- Ensures appropriate insurance coverage such as officers liability insurance, property insurance, etc.
- Manages and oversees the use of all the synagogue facilities, minimizing utility costs, optimizing facility use income.
- Oversees the recruitment and hiring process of staff.
- Oversee the selection and implementation of staff benefits.
Public Relations and Marketing:
- Creates and maintains good public relations with all the constituencies - congregants, donors, funders, clergy, and staff.
- Participates actively in the life of the congregation, thereby showing an involved, visible face to the congregation and promotes a constructive image of Congregation Kol Shofar at all times.
- Creates a positive structure for Congregant interaction, involvement, and communications, public relations, customer/membership service.
- Develops protocols for public relations and management of volunteers.
- Maintains appropriate discretion and confidentiality about synagogue operations, staff, and member circumstances.
- Ensures good public relations on the part of the staff.
- Cultivates relationships with prospective donors and foundation staff and other funding sources.
- In cooperation with the Membership Committee, assists in all aspects of membership recruitment and retention including the development of a strategy and plan for growth, and procedures for welcoming and enrolling new members.
- Provides information concerning the congregation's program and policies to prospective, new, and continuing members.
- Ensures the maintenance of accurate membership records.
- Designs and implements a marketing program for all congregational events, programs and membership recruitment both via internet, e-mail and hard copy as appropriate and based upon cost effectiveness.
- Acts as a liaison to other Jewish organizations and to the secular community in regard to synagogue activities, media relationships and neighbor relations and participates in Bay Area Temple Administrators and National Association of Temple Administrators.
Other Duties:
- The Executive Director, as the executive of the organization has many other duties that arise in the course of his/her work some of which are anticipated and some of which are not. The Executive Director is expected to take on or delegate these duties as appropriate and to work in the best interests of Congregation Kol Shofar.
- The Executive Director is expected to meet with the President of the Board of Directors on at least a monthly basis to report on the work, discuss challenging and controversial matters with him /her and to plan together.
- The Executive Director works in a collaborative and consensus building manner.
The deadline for applications is August 2nd 2010. Interviews will begin on August 18th, 2010.
Should the selected candidate be from outside of the San Francisco Bay Area or within the Bay Area but wish to move closer to the synagogue, Congregation Kol Shofar will not cover relocation expenses or moving costs
